Project:                                      “All for YOUth, YOUth for All”

Under the overall guidance of the Head of Mission and under the direct supervision of the Project Manager and the Administrative and Financial Officer, the Project Assistant will be responsible for the implementation of activities under the project “All for YOUth, YOUth for All” and support the operation of the mission.

Organizational context

About CCR: Caritas Czech Republic (CCR) is a non-profit non-governmental organization (NGO) with offices in Mongolia, Zambia, Cambodia, Georgia, Moldova, and Iraq and an extensive social services program in the Czech Republic assisting more than 100,000 clients. The mission of CCR is to improve the lives of thousands of people through education, promotion of sustainable development, restoring livelihoods, and empowering local communities.

The Caritas Czech Republic launched the first project in Mongolia in 2006 and since then implemented more than 20 projects in 15 different provinces with a particular focus on preschool and vocational education, social work, restoring livelihood, humanitarian assistance, prevention of risks of natural disasters, agriculture, and environment and recycling.

About the project:

“All for YOUth, YOUth for All” is a four-year project supported by the European Union. Its main goal is to work with local CSOs to empower young people and improve their integration into Mongolian society and their participation in decision-making. As such, the project will focus on increasing employment opportunities for young people, increasing their involvement with politics and policy development, training and building capacities of local NGOs, and supporting volunteerism among the Mongolian youth.

Key responsibilities

Project assistant roles

  • Record-keeping and document management: official letters, contracts, communications, meeting minutes, updating contact sheets, etc.
  • Translation assistance
  • Interpretation in meetings, seminars, and events
  • Drafting of event, monthly, and yearly reports
  • Drafting of reports, letters, and other documents of the project
  • Organization, coordination and participation in field visits
  • Logistical support: event management, organization of meetings, procurement of refreshments and stationery, follow-up calls, etc.
  • Technical assistance to meetings and events (assure its high quality)
  • Assistance with project planning
  • Cooperation and support to Driver/office support on the project and office asset management (inventory, discard items, etc.)
  • Coordination with project volunteers (managing project volunteers from the side of CCR)
  • Assistance to Communication officer with communication and/or visibility of the project
  • Other ad-hoc duties related to project implementation assigned by supervisors

Administrative assistant roles

  • Office supply procurement and management (stationary, tea, coffee, etc.)
  • Archive management (project and all other documents)
  • Technical support to Administration and Financial Officer (scanning, printing, copying, binding, etc.)
  • Procurement-related support: collecting quotations, drafting contracts, etc.
  • Filling of purchase and financial documents in accordance with financial regulations
  • HR, recruitment-related support to the project team: screening or contacting candidates, assistance to Head of Mission (HoM) with visa or work permit issues etc.
  • Assistance to HoM with visa or work permit issues etc.
  • Messenger – in-person delivery of reports, invitations, documents, etc.
  • Assistance to HoM in other administration work

Requirements

  • University degree in relevant disciplines (i.e., accounting, finance, business administration, and humanities)
  • Prior professional experience in performing duties listed above
  • Excellent communication skills in written and verbal English and Mongolian languages with interpersonal skills
  • Excellent organizational and interpersonal skills
  • Strong translation and interpretation skills
  • Experience in working for international projects and programs is an asset
